Privacy Policy

1. What we collect from YOU (the customer)

• Account info: name, email, company, role, billing address. Collected at signup and during Stripe checkout.
• Business info: your ICP description, target buyer titles, sales cycle, ACV, current outbound approach. Collected via the qualifying form.
• Usage data: which pages you visit on meetforge.ai (via Plausible Analytics and Google Analytics), which sequences your prospects respond to, which meetings get booked.
• Payment info: we do not store credit card data — Stripe handles all payment processing per PCI-DSS standards. We store only the Stripe customer ID and subscription ID.

2. What we collect about PROSPECTS (people we send outbound to on your behalf)

• Contact data: name, work email, job title, company, LinkedIn URL — sourced from Apollo and Clay's third-party databases.
• Engagement data: whether your emails were opened, replied to, bounced, or marked as spam.
• Booking data: when a prospect books a meeting with your team.

We do not enrich beyond what is necessary for the outbound campaign. We do not store sensitive personal data (race, religion, health, financial details, etc.).

3. How we use your data

• To deliver the MeetForge service (build your campaigns, send emails, track responses).
• To send you operational emails (welcome, ROI dashboard, billing receipts).
• To improve our service (anonymized funnel analytics).
• To comply with legal obligations (responding to subpoenas, tax records, etc.).

4. How we share your data

We share data with a small set of vendors necessary to run the service:

• Stripe — payment processing (your billing details)
• Apollo + Clay — prospect enrichment (anonymous queries describing your ICP)
• Instantly — email sending infrastructure (your sequences + prospect emails)
• Google Workspace — email delivery from our sender domains
• n8n + DigitalOcean — workflow automation and hosting
• Telegram — operational alerts to MeetForge ops team only (not customer-facing)

We do not sell your data. We do not share with advertisers. We do not allow third parties to use your data for their own purposes.

5. CAN-SPAM, GDPR, CASL compliance

Every cold-outbound email we send on your behalf includes:

• A valid physical postal address (registered office: 6160 Warren Pkwy Ste 100 #1234, Frisco TX 75034, USA)
• A clear unsubscribe link
• An accurate "From" address that identifies the sender
• A non-deceptive subject line

Unsubscribe requests are honored immediately — within hours, not days — and recipients are added to a permanent suppression list.

For EU/UK recipients (where GDPR's marketing-consent rules apply more strictly than CAN-SPAM): we rely on the legitimate-interest basis for B2B prospecting, limited to professional business contacts at their work email addresses. Recipients may exercise their GDPR rights (access, deletion, objection) by emailing privacy@meetforge.ai.

6. Data retention

• Active customer data: retained for the duration of the subscription + 12 months after cancellation.
• Prospect data: retained for 18 months after last engagement (open/reply), then deleted.
• Suppression list entries: retained permanently (this is required to honor opt-outs).
• Billing records: retained for 7 years (US tax law).

7. Your rights

You can:

• Request a copy of all data we hold about you (email privacy@meetforge.ai, 30-day SLA).
• Request correction of inaccurate data.
• Request deletion of your data (subject to retention obligations above).
• Withdraw consent for marketing emails at any time (we'll honor it within hours).

8. Security

We use industry-standard practices: encrypted data in transit (TLS 1.3), restricted file permissions (0700 on operator data), 2FA on all admin accounts, regular security audits. We are not SOC2-certified yet (post-launch goal). We do not store credit card data — Stripe handles all PCI-DSS-relevant processing.

9. Cookies

meetforge.ai uses:

• Plausible Analytics (cookie-free, privacy-friendly)
• Google Analytics (uses cookies, anonymized IP)

No third-party advertising cookies. No remarketing pixels.
